Our Annual Meeting!

As you know this year has been a historically different year in many respects for our church and our people.  Nevertheless God has continued to use our church to be a blessing, to continue ministry in multiple ways, and to provide for the work He has entrusted to us.  We praise Him and give Him the glory for all He has done!

Looking toward 2021, there is still some uncertainty about how things will go.  Yet, we are certain that God has a purpose and a plan for our church.  We are also certain that God will provide exactly what we need to do His work in terms of personnel, leaders, volunteers, finances and ministry.

When God's people in the wilderness had satisfied their thirst drinking water from a rock, they wondered if God could satisfy their hunger and provide them bread and meat in the desert.  The Psalmist captures this question in Psalm 78:20-25.  We are confident that the same God who gave us "water from a rock" in 2020 will give us "bread and meat" in 2021.

On November 15 we will have our Church in Conference in a hybrid format (see below).  Although we have more than one Church in Conference each year, we may think of our November one as an annual meeting.  It is at this time that the congregation gets to vote on next year's church budget, next year's incoming deacons, and next year's incoming committee members.

If you are a Calvary member by now you should have received a packet in the mail with the proposed 2021 budget documents and the candidates for active deacon service.  If you have not received it, please contact our church office.  Also the mail out electronic documents are included in this blog post for you to view and/or download.

We are so thankful for the work of the stewardship committee, the deacon screening and nominating committee, and the nominating committee in preparing their recommendations.

Budget Question and Answer Session Corrected Date:

Please note a correction to the budget cover letter that went out in the mail.  Our 2021 Budget Question and Answer session will be held on Tuesday, November 10 from 7:15 PM to 8:15 PM (not on Wednesday, November 11).

The Q&A session will take place via zoom.  All members are welcome to join the session.  The meeting information is as follows: Meeting ID: 944 8886 7099 Passcode: 939402 or you can join directly by clicking on this link: 2021 Budget Virtual Q&A

Hybrid Format for Church in Conference

The November 15 Church in Conference will be a hybrid meeting (Student Center and Zoom).  Those choosing to come in person may come to the Student Center and follow all of the health and safety protocols we observe for Sunday worship services (i.e.: wear masks, social distancing, self-screen, wash hands, use hand sanitizer, etc.).  Those choosing to join via zoom may do so by using the following meeting information: Meeting ID: 944 3600 8572 Passcode: 725596 or you can join directly by clicking on this link: Church in Conference

If you plan to join the Church in Conference via zoom please make sure that your full name shows on the screen so that we can verify that only members are being counted for quorum and given the opportunity to ask questions, request the floor and vote.  You may also want to become familiar with the chat feature of the zoom application.  Asking questions, making motions and requesting the floor will need to be typed in to the chat before it is recognized by the moderator.

Agenda Items

During the meeting members will hear reports, get an update on personnel changes and plans to fill vacancies, vote on incoming committee members, vote on deacon candidates, and vote on the 2021 budget among other things.

Several days before the November 15 meeting, a complete digital packet with the agenda and reports will be available for downloading from our webpage.

For those participating remotely digital voting options will be offered.

Voting Options

Due to COVID-19 we will offer three options for voting.  It is important to note that only Calvary McAllen members may vote.  In the interest of maintaining anonymity, we will depend on an honor system where each voting member will vote only once using only one of the following options, since we will not require the person's name on the ballot.

  1. Vote in person on November 15 at 6:30 PM in the Student Center
  2. Vote digitally using this link: Digital Ballot (the digital ballot will close on November 15 at 7:45 PM)
  3. Absentee vote in hard copy during office hours (8:30 AM to 11:30 PM and 1:30 PM to 4:30 PM)

The nominating committee consisting of Leo Leal, chair, Tracy Hughes, Marissa Courtney, Janine Havener, Jeff Bridwell, Gilda Rios, Aurora Estrada, David Heflin and Jorge Gordillo, presentes the following nominations slate for 2021.

Please prepare in prayer to participate in this important meeting that will determine much of our ministry direction for 2021.  Much has changed but our God is faithful.  We are trusting God for his future.

He was the God of Calvary McAllen in 1957.  He was the God of Calvary McAllen in 2019.  He was the God of Calvary McAllen in 2020.  And He will be the God of Calvary McAllen in 2021 and beyond.

We will continue to make disciple makers for the glory of God among the nations!

                  Deacons and Disciple-Making

I invite you to listen to my conversation with Ruben Rojas, chairman of deacons at Calvary.  We discuss how the deacon ministry, an important biblical role in the local church, relates to our purpose.  We exist to make disciple-makers for the glory of God among the nations.  How does this purpose and the deacon ministry relate?

I share this information with you because in this season we need to (1) pray for our deacons (2) nominate deacons to serve in the active deacon body (3) consider whether God is calling you to serve in this role at Calvary.

                  Role of Deacons at Calvary

At Calvary we have summarized the role of deacons with four words that begin with the letter "S:" Serve, Support, Shepherd and Succession.

                  2. SUPPORT (Philippians 1:1)

                  • Support the pastoral leadership in prayer, word and action
                  • Support the mission and vision of CBC in prayer, time, service and finances

                  1. Alentamos a las personas que son físicamente vulnerables y / o inmunodeprimidas a que continúen participando virtualmente (planeamos continuar transmitiendo en vivo y ofreciendo sesiones de zoom);
                  2. Pedimos respetuosamente a aquellos que poseen síntomas tipo de gripe, o que han tenido contact reciente con alguna persona que está infectada con COVID-19, que se abstengan de venir a las instalaciones hasta que hayan completado la cuarentena recomendada; y
                  3. Aquellos que elijan participar en persona en el campus deben tener cuidado y observar los protocolos de seguridad para protegerse a sí mismos y a los demás.

                    14. Proveeremos desinfectante de manos en varias entradas
                    15. No habrá boletines impresos
                    16. No habrá tiempo de saludos congregacionales

                    Back to Campus Announcement

We are happy to share the decision about returning to campus for worship!

While we are thankful that the RGV is on a downtrend from its summer peak in number of COVID-19 cases and that the hospitals are no longer overwhelmed with COVID-19 patients, we acknowledge that the number of COVID-19 related cases, hospitalizations and deaths in Hidalgo County are still significant. We also acknowledge that the pandemic has not ended and will most likely not subside until sometime in 2021. Thus,

                    1. We encourage people who are physically vulnerable and/or immunocompromised to continue participating remotely (we plan to continue live streaming and offering groups via zoom);
                    2. We respectfully ask those who have flu-like symptoms, or currently have COVID-19, or have had recent contact with someone who has COVID-19 refrain from coming to campus until they have completed the recommended quarantine time; and
                    3. Those who choose to participate in person on campus must exercise caution and observe safety protocols in order to protect themselves and others.

The overarching principle is love for one another (John 13:35).

As long as the following criteria remains,

                    1. A rolling average of last 7 days less than 1,250 new COVID-19 cases for a minimum of 5 of the last 7 days, and
                    2. The number of COVID-19 related hospitalizations are less than 250 for a minimum of 5 consecutive days,
Our pastoral staff with the counsel of our advisory team and deacon body has decided that,

                    1. Home fellowships be allowed to meet in person beginning October 1st or any time thereafter while maintaining safety protocols.  Home fellowships meeting in person are encouraged to consider providing a “zoom” option (hybrid meetings).
                    2. ABFs be allowed to meet either in a home or on campus beginning October 1st or any time thereafter while maintaining safety protocols.  ABFs who wish to meet on campus must do so at a time other than while Sunday worship services are taking place and must calendar their meeting time through the church office.  Also encouraged to provide hybrid option.  No child care available.
                    3. Sunday Worship Services will offer in-person option beginning October 18 following the protocols listed below for our 9:30 AM, 11:00 AM and 12:30 PM services.  Overflow capacity will be offered in the Student Center via link from the worship center to the LED screen (overflow will be available at 11:00 AM and at 12:30 PM).  Live streaming will continue to be offered.
For the time being all other ministries will continue virtually until further notice.

We are excited about this development and we ask you to join us in prayer so that He will be glorified and the church will grow strong in spirit and mission.

The following protocols and principles will guide us for our worship services starting on October 18:
                    1. All ages welcome as long as no flu-like symptoms, no recent contact with someone infected and feel confident regarding risk to self
                    2. Vulnerable and or immunocompromised populations are encouraged to participate remotely
                    3. Livestream will continue to be provided for all three services
                    4. Follow social distance, hygiene and mitigation protocols

                    23. A poster of symptoms will be placed at entrance to assist in self-screening.
                    24. We will be welcoming, joyful, expectant, prayerful and dependent on the Holy Spirit.

Although we do not wish to close the campus again if the number of cases exceed a rolling average of 1,750 cases for more than 4 of the last 7 days, we will need to consider doing so for the well-being of everyone.

We look forward to what God has in store for us in the days ahead both digitally and in-person!

                    Interim Student Ministry Associates

This next week Eli Garza begins his role as Interim Student Ministry Associate (Middle School and High School) and Frank San Martin continues his role as College and Young Adults Associate at Calvary McAllen.

Both Eli and Frank have been Pastoral Ministry Interns at Calvary.  (You can read my August 18 blog post about this here).  Pastor Marcus Rodriguez, who has served as Pastor for Families with Students for over eleven years will end his role at Calvary on September 15 before going to serve at Houston's First Baptist Church as High School minister.  (You can read about it and watch the video I posted on August 23 here).  We pray for Pastor Marcus and his family during this transition and rejoice at what God has in store in His Kingdom.

In the video above Eli and Frank share about themselves and their commitment to Calvary's vision and the disciple-making among our students.  We are so grateful for these young men who God has brought to our church and who are already being used by him to strengthen our student ministry.  (Initially Eli will be considered three-quarter time and Frank one-quarter time).

I hope to work with the personnel committee to present a new staff organization for Calvary McAllen's future at our November 15 Church in Conference.  There are currently three pastoral staff vacancies in a pastoral staff team of seven.  Once the new staff organization is in place the congregation may elect search committees to fill these vacancies.

Please pray for our student ministry associates and our students during this transition.  Pray for our remaining pastoral staff team as they serve in multiple areas.  Pray for me, the personnel committee, and the congregation as we seek God's direction in staffing Calvary well for the fulfillment of God's mission as we approach 2021.
